Epsilon Net's Time MaSter, a member of the HR MaSter application family, is an integrated information system for monitoring and managing staff attendance, fully compatible with the requirements of the Digital Work Card (ERGANI II).
A. FUNCTIONAL FEATURES
Epsilon Net's Time MaSter, which belongs to the HR MaSter application family, is the software of an integrated system, which aims to fully meet the needs of the Personnel Office of a company or organization, in the field of controlling and monitoring staff attendance in line with the requirements of the Digital Work Card for ERGANI II.
It cooperates harmoniously with appropriate electronic timekeeping stations (Time-Attendance Terminals) to collect the data collected from the "swipes" of employees' attendance cards. Then, the application takes over the processing of the data, the issuance of all the necessary statements, analytical and aggregated, as well as the creation of appropriate files for automatic updating of the Payroll program.
Time MaSter can operate autonomously for the management of staff attendance. It can also be an excellent complement to Payroll, completing the IT coverage of the Personnel Office of the Company or Organization.
With the help of Time MaSter, every company can achieve greater efficiency in the operation of its Personnel Office, greater time savings, as well as immediate and reliable information for the administration.
Time MaSter can be fully integrated with the ROSSLARE AXTRAX Access Control system and/or ArionTimer, enabling businesses and organizations that want to combine timekeeping with access control to achieve high-level functionality, as well as economies of scale, since separate equipment is not required for each system.
The application operates in a Windows environment and uses an open architecture Database (Oracle, Microsoft SQL Server, Interbase, etc.).
The integrated Time MaSter solution consists of a software application, hardware and services.
A.1) Time MaSter software application
It undertakes the collection of employee movement data from the Timekeeping Stations, the parametric definition of work rules, the monitoring of staff leaves, the automatic calculation of working hours of all types (regular, overtime, night work, Sunday work, etc.), the automatic transfer of data to Payroll, the updating of ERGANIS for the Digital Work Card, as well as the issuance of all necessary information reports and statistics.
A.2) Equipment (Hardware)
1. Timekeeping Stations – Electronic Time Clocks (Time Recording Terminals) that operate with Magnetic Cards or “proximity” Cards, smart mobile phones and record in the autonomous memory they have the movements of the staff (Entries – Exits).
2. Credit card type Magnetic Cards or Proximity Cards that are recognized by Readers from a distance of up to 12 centimeters.
3. Cabling and peripherals.
A.3) Installation Services
1. Requirements Study
2. Implementation / Installation of the system
3. Training of the customer's personnel
4. Guarantee of good operation and Maintenance
B. PERSONNEL DATA
B.1) Complete management of each employee's data
divided into:
1. Personal (Registration No., Full Name, Patronymic, Date of Birth, Identity No. etc.) Work (Date of Hiring, Department, Specialty, Employment Relationship, Employment Contract etc.) Residence (Address, Zip Code, Phones etc.)
2. Employee Photo and Sample Signature in digital format
3. Entitled days of leave per year
4. Comments – Observations about the Employee
B.2) Contact with Stations Timekeeping
1. Ability to communicate with all Timekeeping Stations (Electronic Time Clocks), local or remote, serially, via modem or via network (TCP/IP).
2. Ability to display and change (set) the date and time of the Timekeeping Station through the application.
3. On-Line transfer of attendance data from the clock to the computer.
In this case, the records are retrieved from the clock immediately after each card is swiped and are registered in the application's main attendance file. At the same time, the details of each "swipe" are displayed on the computer screen (date, time, card number, employee name, function - entry, exit, temporary exit, return from temporary exit). The On-Line function requires the computer to be continuously connected to the timekeeping clock.
4. Off-Line transfer
The reading of the strokes stored in the clock's memory is done en masse, with the same data displayed on the screen, their entry in the main attendance file and the creation of a status of incorrect entries. Off-Line data transfer does not require the computer to be continuously connected to the clock.
5. Data transfer via RAM Card and RAM Card Reader device connected to the computer.
In cases where the clock-computer connection is not possible, the data is temporarily transferred from the clock to a special card (RAM Card). This card, which exists in various types depending on its capacity (memory), can also be used to receive data from more than one clock and transfer it collectively, via the card reader (RAM Card Reader) to the computer.
B.3) Employment Contracts
1. Possibility of defining up to 999 different daily schedules (continuous or intermittent), for employees who work fixed hours throughout the week. For each schedule, the user determines the start and end time, flexibility, break duration, etc.
2. Ability to define up to 999 different weekly work schedules, for employees who do not work the same hours every day of the week, but have a fixed (repeated) weekly work schedule (e.g. stores, insurance company employees, employees with special employment contracts, etc.).
3. Ability to define a monthly work schedule per employee, for cases where there is no regular schedule (e.g. employees with an evening system in industries). There is the ability to automatically update the monthly schedule of many employees of the same group. (e.g. shift 'A', shift 'B', etc.).
4. Printouts of work schedules per day, per employee (for one or more months), per month, etc. Ability to update - change the work schedule per day (for all employees)
5. Preparation of employment contracts, which specify the schedule system with which the employees of the specific group work, the desired rounding of the strokes and working hours, the method of calculating additional hours of employment (overtime, overtime approved or not) etc.
6. The application is able to make different calculations for each type of contract (e.g. administrative employees, shift workers, mothers with reduced hours, etc.).
B.4) Staff Attendance
1. Ability to fully manage the staff attendance file (imports, changes, deletions) by an authorized user, using a special access key. This option allows intervention in the attendance file for cases of employees who have not brought their card, corrections of any incorrect punches, etc.
2. Printing an employee attendance card, which displays punches per day, regular and actual working hours, their difference (delays) for a period defined by the user, the total hours worked and delays in this period, overtime, overtime, etc.
3. Printing a consolidated attendance data statement, which shows the total working hours of each employee for a period defined by the user.
4. Ability to store working hours calculation data in a historical file. Ability to mass delete old attendance data.
5. Issue control reports:
- Attendance report by date (chronological printing of card swipes, as recorded in the memory of each clock).
- Based on the criteria-filters defined by the user, it can be requested, for example, to view / print employees who were late in the morning attendance or have worked overtime.
- Daily control report, in which the swipes of each employee are displayed, for a period defined by the user.
- Daily absence report, in which the absentees for a specific day are listed, that is, those employees who do not have any swipes on the clock on that day. This report offers the possibility of identifying absentees immediately after the upper attendance limit expires or at the end of the day.
- Attendance report by department, which shows the employees present in each department at a specific time.
- Inconsistency report, which shows employees with incomplete or "illogical" timestamps (e.g. entry without exit, etc.).
- Delays / early departures reports.
- Cuts / increases reports
- Detailed and aggregated payroll reports.
B.5) Connection with Payroll
1. Ability to automatically transfer all necessary data (regular working hours, cuts, increases, overtime, overtime, daily wages, etc.) to Payroll.
2. Ability to define Export Ascii file formats by the user
3. Creation of Ascii files (according to the selected format), with the calculation data, for transfer to Payroll.
4. Time MaSter can work with any Payroll application.
B.6) Auxiliary Tasks
1. Definition of application parameters (Time Station Type, serial port, card number length, Payroll application, etc.).
2. Ability to define up to 999 application Operators (Username and Password), as well as the access rights of each user to the various tasks of the application.
3. Ability to define by the user the company departments, employee specialties, employment relationships, types of leave and holidays that apply to the specific company for each year.
